1. Who we are
The Prestwick Patter is a free weekly newsletter for Prestwick, Monkton and Symington. The data controller is Lamberton Bruce, trading as The Prestwick Patter, a sole trader, of 41 Boydfield Avenue, Prestwick KA9 2JL. We are registered with the Information Commissioner’s Office, registration reference ZC272611.
This notice covers the details you give when you send us an event for What's On, using the form on this site or by emailing events at prestwick.brufield.com. If you advertise with us, our advertising privacy notice covers that.
2. What we collect
- About the event (required, and published): its name, date and times, venue and street or postcode, area, what kind of event it is, a short description and the price. Ticket details, access information and a flyer link are optional and published if you give them.
- A contact for readers (optional, and published). If it's someone else's phone or email, please check they're happy for it to be printed.
- About you (required, and private): your organisation, whether it's a charity, club or business, and your name and email address. We never print your name or email.
- Your choices: that you confirmed the details are accurate and OK to publish, when you sent them, and whether you asked to hear about promoting the event.
- Which link brought you here, if it carried a label such as "facebook", so we know which notices work.
Each event gets a reference number. We don't record your IP address with your listing, and the page uses no tracking cookies.
3. Why we use it
- To check and publish your listing in the Patter and on its website. This is in our legitimate interests in running a free community What's On, and you tell us the details are OK to publish.
- To contact you about your listing, for example if a detail is missing. Legitimate interests.
- To tell you about promoting your event, only if you ticked that box. This is based on your consent. We'll email you once, and you can say no thanks at any time.
- To stop spam. The form uses Cloudflare Turnstile to check a person is filling it in, and briefly limits how many forms can be sent from one connection. Your connection's address is used only for those checks and isn't stored with your listing. Legitimate interests.
Sending an event doesn't sign you up to the newsletter. We don't sell your details or share them for anyone else's marketing.
4. Who else handles it
- Cloudflare: hosts this form and runs the spam check.
- Airtable: stores event listings.
- Google Gmail: email.
- beehiiv: publishes the newsletter and its website. Only the published listing goes there.
Some of these providers store data outside the UK, under recognised safeguards.
5. How long we keep it
- Your name and email: deleted 90 days after the event. For a regular event, 90 days after the last date we list.
- Listings we don't run: deleted within 90 days.
- Published listings stay in that issue of the Patter, which can still be read online. Ask us and we'll remove a printed contact from the online copy.
- If you asked about promotion, that note is kept with your listing for the same 90 days.
6. Your rights
You can ask for a copy of your details, or ask us to correct, delete or restrict them, or to move them to you. Where we rely on legitimate interests, you can object. Email events at prestwick.brufield.com. We'll reply within one month, free of charge.
If you're unhappy with how we've handled your details, you can complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint or 0303 123 1113.
7. Changes to this notice
If we change this notice, we'll post the new version here with a new date. If a change affects you directly, we'll email you first.
